TraceAir is hiring a Business Assistant․

Job Responsibilities

Your main day to day task will be managing the clients’ documentation:

  • After you receive the documents from the clients, you will communicate with them to make sure they have sent the necessary set of documents and signed the papers.
  • You will need to fill in the information about the company for the vendor forms, and agreements.
  • You will be sorting out the insurance forms - some of the clients have specific requirements, and you might need to communicate with insurance companies in the US.
  • Keeping the documentation flow in Google Drive organized and up to date.
  • Helping with the onboarding of the new team members - filling in their contact and personal information and signing the contacts.  
  • Your other responsibilities will be:
  • Managing capital expenditures - you will need to order deliveries to the offices and merchandise, and computer deliveries for new staff members.
  • Managing travel arrangements - you will be booking hotels for the whole company when they will go on a retreat, for example.
  • Conducting research on various topics per request - right now TraceAir is choosing between Zoom and some other platform for communication. Your task will be to analyze competitors and communicate with users to collect feedback to find the best option. 
  • Helping the Operations Manager with other tasks per request.
